Based on your feedback, the Alumni Association is excited to introduce an improved service for our volunteers.

Introducing July 1... HTML E-mail

The Alumni Association has always offered complimentary e-mail for chapters, so they can communicate with their alumni. Now, instead of plain text, we are going to a HTML format, which is a more attractive, eye-catching form of communication. 


Outline of New Process Beginning July 1

Step 1

Beginning July 1, go to www.alumni.vt.edu/chapters/chapters.html and login to the chapter database.

Step 2

Beginning July 1, scroll down to the "E-mail and Publication Requests for Events" section and click on the form that best describes your event.

Step 3

Beginning July 1, fill out your form. The only change is the new "upload image" feature for HTML e-mail (examples of uploads include: photograph or chapter logo).

Recap of Publication Deadlines

  • For mailers, we need information in hand 6 – 8 weeks prior to the RSVP date.
    Requests should be made early, so that we can get it on our schedule. But, the information is required 6 - 8 weeks prior to the RSVP date. A follow-up e-mail is always provided if we do a mailer.

  • For e-mail, we need information in hand at least 2 weeks prior to the RSVP date.
    Requests should be made early, so that we can get it on our schedule. If you are requesting an e-mail only, we will provide two (unless the request is too close to the RSVP date, then we will provide one).

Chapters must fill out online publication request forms beginning July 1, 2009.
Publication information submitted directly to Melissa, will not be accepted.
In order to make this process successful, chapters must use the online form.

Benefits of Using the Online Form

  1. The required form is easy to fill out
  2. The required form asks all the necessary questions we need
  3. The required form is automatically sent to your liaison and the communications area
